NEW – Quick Quote Process

At APE Medical, we know that when you need clinical equipment, rehabilitation tools, or sports medical supplies, you often need a formal quote now—not in three days after a dozen back-and-forth emails. Whether you are a private practitioner setting up a new clinic, a hospital procurement officer, a sports club volunteer, or an NDIS participant, the “quote stage” shouldn’t be a bottleneck.

That’s why we’ve launched our new Quick Quote process. It is a streamlined, automated online system designed to give everyone—regardless of their funding pathway or professional background—a faster and more accurate way to get the documentation they need.

Why we moved to an Online Quoting System

In the past, requesting a quote usually meant sending an email and waiting for a staff member to manually type up a document. While our team is always happy to help, manual quotes often face common hurdles:

  • Missing Information Forgetting to include a delivery address or specific product variants.
  • Formatting Issues The quote doesn’t meet the specific requirements of a funding body or a club treasurer.
  • Communication Gaps Quotes sitting in an inbox rather than being sent directly to the person who actually pays the bill (like a Plan Manager or a Club Secretary).

Our new Quick Quote system solves these issues by guiding you through a simple, step-by-step process that captures everything required to generate a professional, accurate document the first time.

The Benefits of Using Quick Quote

Our online system isn’t just a contact form; it’s a dedicated workflow built to save you time. Here is why it’s the preferred way to request pricing-

  1. Faster Turnaround

By using the online system, your request enters our workflow with all the necessary data already attached. This allows our team to review and approve the documentation much more efficiently than a manual email request.

  1. Accuracy Guaranteed

The system provides step-by-step guidance. By selecting your products directly from our digital catalogue, you ensure that the codes, descriptions, and prices are 100% accurate, preventing errors that could delay your order later.

  1. Direct Delivery to Decision Makers

One of the most powerful features of the Quick Quote system is the ability to send the final document directly to a third party. Whether it’s an NDIS Plan Manager, a Clinic Owner, or a Finance Department, you can enter their email address during the process, and we will ensure they receive the documentation for review and payment.

  1. Compliance and Record Keeping

For those working within regulated frameworks—like the NDIS or DVA—compliance is key. Our system ensures that essential details (like participant names or reference numbers) are captured and displayed correctly on the quote or tax invoice, making claims and audits seamless.

Who is the Quick Quote Process For?

While we have a specialised department for NDIS, the Quick Quote system is available to anyone who needs a formal price breakdown.

  • Clinicians & Therapists Quickly prescribe equipment for your clients and have the quote sent to them or their funding representative.
  • New Clinic Setups Building a list of exercise equipment, treatment tables, and modalities? Add them all to a quote to see your total investment clearly.
  • Sports Clubs Need a bulk order of strapping tape and first aid supplies? Generate a quote to present to your committee for approval.
  • NDIS & DVA Participants Whether you are self-managed or plan-managed, you can generate the exact documentation required for your funding pathway.
  • Hospitals & Aged Care Streamline the procurement process for bracing, compression garments, and neurological supports.

How to Use the Quick Quote System (Step-by-Step)

Getting a quote is now as easy as online shopping, but with the professional documentation you require at the end.

  1. Browse and Select Navigate our website and add the products you need to your “Quote” (similar to adding items to a cart).
  2. Review Your List Go to the Quote page to see your selected items. You can adjust quantities or add notes here.
  3. Enter Your Details Fill in your contact information.
  4. Select Your Pathway If you are an NDIS participant, there is a dedicated section to enter your NDIS number and Date of Birth. If you are a private business or club, you can skip these fields.
  5. Nominate a Recipient If you want the quote sent to someone else (like a Plan Manager or a Boss), enter their email address in the designated field.
  6. Submit Once submitted, our team reviews the details. We will then prepare the appropriate documentation—whether that’s a formal Quotation or a Tax Invoice—and send it out.

Frequently Asked Questions

Can I still email my request?
Yes, you can always reach us at info@apemedical.com.au. However, the online system is significantly faster. It ensures we don’t have to email you back to ask for missing details, which can save a lot of your valuable time.

What if I’m not sure which products I need?
If you are a patient or participant, we always recommend speaking with your clinician first. You can still add the items you are considering to a Quick Quote, and our team can provide further guidance once we see your request.

Does a quote expire?
Typically, our quotes are valid for 30 days, giving you or your funding body plenty of time to review and arrange payment.

What happens after I submit?
Our team reviews the request to ensure shipping costs and product availability are correct. We then issue the formal document. Once payment is received, your goods are dispatched immediately.
